Businesses switch their phone systems for a number of reasons, the key ones are:

Selecting a phone system can be a daunting task given the variety in the market, the many connectivity options that exist, and the various technical issues involved. Here are some key points that you should consider.

Phone Systems Technologies

There are two main technologies that phone systems use. The first is Time Division Multiplexing (TDM), which is what the traditional phone systems have been using for many decades. It is a proven technology that is both very reliable and cost efficient, but generally TDM systems only support voice calls and adding new features can be very expensive and difficult. The traditional copper pair coming to the phone sitting on most desks used TDM technology. The second technology is rapidly overtaking TDM in popularity and capability. This is VoIP or Voice over Internet Protocol, the same technology that computers over the Internet use to communicate.

VoIP systems can have very elaborate features (including these top 5 must-have phone system features) as a standard offering, many of which would not be possible with a traditional TDM phone system. Unless there is a very specific reason to use TDM phones, most businesses today opt to use VoIP technology.

However, it is important to remember that with the traditional TDM phone, the phone line is powered by exchanges that have large battery banks available. Even if the building the phone was installed in had a total power failure, the TDM phone would work. This is not the case for a VoIP phone. Businesses need to make sure that they have reliable standby power supply for their VoIP phones to function.

Phone Systems Deployment Options

Businesses can choose to lease or buy the phone system outright; this is a Private branch Exchange, or PBX for short, and it is the hardware on which the phone system runs. With VoIP, the specific device needed is an IP-PBX. Leasing this equipment is cheaper than an outright purchase. However, if businesses lease or buy an IP PBX, they need to manage it themselves and provide the needed infrastructure, space and skilled manpower to manage the exchange.

Businesses also have the alternative of using a phone system based in a data center connected to the Internet; these phones are hosted in the ‘cloud’. A cloud based phone service provider would manage the system and lease the required number of lines to you. In such a situation, the entire onus of managing the phone system lies with the service provider. A user company simply needs to plug the VoIP phones into switches that are connected to the Internet.

Understanding Your Business Needs

Before a short listing can be made, businesses need to understand their communication needs in detail. Users typically fall into one these three types:
